Front Desk Receptionist & Volunteer Coordinator

Job Summary: The Receptionist/Volunteer Coordinator performs a dual function at the JCC’s main reception desk. Reception responsibilities include administrative, financial, and security functions. The Receptionist connects JCC members and community members to all of the JCC’s programming, services, and engagement opportunities. The Receptionist supports the mission of the JCC by maintaining excellent customer service, following security protocol, and ensuring that every individual contacting the JCC receives a warm welcome, as well as encouragement and support to further engage with the JCC. Volunteer Coordinator responsibilities include recruiting, managing volunteers, providing volunteer recognition, paying close attention to matching volunteer interests and skills to appropriate volunteer opportunities at the JCC and in the community.
Principal Responsibilities:
The Receptionist is the welcoming “face” of the JCC to all who contact the organization. The Receptionist creates a sense of belonging among members and the community, encourages deeper engagement, and promptly acknowledges and addresses questions and concerns. They accomplish this through the following:
Sales and Engagement
- Coordinate Asheville Jewish Community welcome activities; including preparing newcomer packets, providing information and resources about Jewish Asheville to newcomers, and entering newcomer tour forms into JCC database
- Respond to all membership and membership benefit inquiries, schedule tours for new and prospective members, and troubleshoot and resolve member questions, concerns, and special circumstances
- Track and ensure proper follow-up of all membership, newcomer, and department tours
- Coordinate the Challah Club, including sales, promotions, orders, distributions, and billing
- Actively cross-sell JCC programs and services (ex. preschool, camp, afterschool, aquatics, adults, volunteer opportunities, fundraising events)
- Actively cross-sell Jewish Asheville organizations and services
Administration, Finance, and Security
- Answer incoming phone calls in a prompt, welcoming, and helpful manner. Connect callers and route messages appropriately
- Monitor front door ingress/egress, warmly welcoming members and families, carefully assessing visitors who the receptionist does not recognize, and denying access to anyone who raises concern
- Ensure that staff, visitors, and members comply with JCC front door and sign-in policies
- Intake, sort & distribute incoming mail
- Process payments for point-of-sale items, membership fees, donations, and program fees
- Enforce all JCC safety, security, and membership policies and procedures
- Perform administrative tasks as requested
Reception Area
- Ensure that the main lobby and reception desk are neat and clutter-free
- Periodically remove old flyers from bulletin board
- Ensure doors remain closed
- Assist with keeping the reception area reasonably quiet
Volunteer Engagement
- Work with JCC Program Directors to identify agency needs, develop volunteer position descriptions, and cultivate an environment of readiness for volunteers
- Develop and implement policies, procedures, and materials to recruit, screen, orient, place, and monitor volunteers
- Create and maintain database of volunteers to track volunteer interests, activities, and follow-up
- Determine training needs to coordinate and/or conduct training as needed for specific volunteer roles
- Monitor volunteer satisfaction, providing feedback and supervision
- Develop volunteer recognition program, including formal and informal points of contact
Agency Responsibilities
- Attend two evening all-staff meetings per year
- Follow all agency policies and procedures
- Keep informed of events and programs happening within every JCC department and throughout Jewish Asheville

Qualifications:
Education:
- High school diploma or equivalent preferred
Experience:
- 1 year of experience required
Physical Requirements:
- Must be able to lift up to 40 pounds
